How to Plan Transport for WTM at ExCeL London

How to Plan Transport for WTM at ExCeL London

World Travel Market at ExCeL London brings exhibitors, buyers, media teams and international delegates into one venue on tightly scheduled days. Transport should be planned around accreditation, meeting times, hotel locations and the practical access arrangements operating at ExCeL.

Confirm the event timetable

Use the official WTM programme and your own meeting diary to establish the required arrival time. Allow time for registration, security and walking through ExCeL before the first appointment. The published opening time is not necessarily the correct vehicle arrival time for every delegate.

Identify the correct ExCeL entrance

ExCeL London is a large venue with multiple access points. Confirm which entrance, hall or registration area is closest to the passenger’s first commitment. A venue name without an entrance can create unnecessary walking and delay.

Plan travel from the hotel

Delegates staying in Mayfair, the City, Canary Wharf or other parts of London should allow for peak traffic and changing road conditions. Hotel departure time must also include checkout, luggage collection and the time needed for the vehicle to approach the entrance.

Choose the correct vehicle

An executive saloon is appropriate for one or two business travellers with limited luggage. An S-Class or BMW 7 Series provides additional first-class comfort. A V-Class is generally more practical for groups, exhibition materials or several suitcases.

Airport arrival before WTM

Provide the flight number, terminal, landing date, passenger count and luggage details. Immigration and baggage collection can vary, so the itinerary should not place an important ExCeL meeting too close to the scheduled landing time.

London City Airport is geographically close to ExCeL, but transfer time still depends on terminal procedures and local traffic. Heathrow and Gatwick arrivals require substantially more journey time.

Coordinate meetings beyond ExCeL

WTM schedules often include hotel meetings, restaurant dinners, receptions and appointments elsewhere in London. A complete itinerary should identify every venue, required arrival time and organiser contact.

Fixed transfers or hourly hire

Separate transfers may suit a simple hotel-to-ExCeL return. Hourly or as-directed hire can be more practical when the delegate has several meetings, needs the vehicle on standby or expects the schedule to change. London VIP Chauffeur applies a minimum five-hour booking for hourly hire.

Plan the evening return

Crowds leaving ExCeL can affect vehicle access and mobile communication. Agree the collection point before entering the exhibition and keep a working passenger telephone available. Temporary traffic management may require a different pickup point from the morning drop-off.

Information to provide when booking

Send the event date, hotel or airport collection point, required ExCeL arrival time, entrance or hall, passenger numbers, luggage and exhibition-material quantities, vehicle preference and complete return plan.
