A corporate chauffeur booking works best when the personal assistant or travel manager provides one complete brief. The purpose of this guide is to organise the information needed before requesting a commercial quotation.
Begin with the business purpose of the journey and the service period. State whether the request covers one transfer, a full day of meetings, a financial roadshow, a visiting delegation or recurring executive travel. Include the travel date, local collection time, required arrival time and all known addresses. If part of the programme is provisional, identify it clearly instead of presenting an estimated time as confirmed. This distinction helps the operator plan realistic travel margins, choose an appropriate booking structure and prepare a quotation that can be compared accurately with the final itinerary.

Passenger and Contact Details
List every passenger, mobile contact and the authorised person responsible for itinerary changes. Identify senior guests or travellers who require separate vehicles.

Flight, Terminal and Luggage Information
For airport or private aviation travel, include the flight number, terminal or FBO, passenger count, luggage and preferred meeting arrangement.
Vehicle and Capacity Requirements
A luxury saloon may suit an individual executive, while a V-Class can accommodate colleagues, visiting clients or additional luggage. Confirm practical capacity before choosing the vehicle.
Waiting Time and Flexible Movements
Explain which appointments are fixed and which may change. An as-directed booking can be more suitable than separate transfers when meetings may overrun.
Multi-Vehicle Coordination
For roadshows or delegations, provide vehicle allocations, group lists, lead contacts and a single process for communicating amendments.
For a multi-vehicle movement, prepare an allocation sheet that shows each passenger group, vehicle category, collection point, chauffeur contact and final destination.
