London’s summer calendar can bring busy roads, limited venue access and schedules that change at short notice. This guide helps personal assistants, corporate teams and private clients plan chauffeur travel around seasonal events.

Provide the venue, guest arrival window, entry time and final destination. If the day includes hospitality, private dining or a hotel, include every location in the plan.
Agree Venue Access and Pickup Points
Event venues may have restricted roads, designated drop-off points or timed access. Share host instructions where relevant and agree a practical collection point before the event.
Coordinate Groups and Multiple Vehicles
List passenger names, contact numbers, luggage, vehicle preferences and collection points. For multi-vehicle movements, clear timings and one lead contact make coordination easier.

If access permits or vehicle passes are required, confirm who is responsible for supplying them and when they will be available.
For a diary covering several events or days, build one master itinerary rather than treating each movement as an unrelated transfer. Note which passengers attend each engagement, where they will stay, which luggage or equipment moves with them and which appointments cannot be changed. Review the vehicle requirement for every day: a saloon may suit one guest for a dinner, while a larger vehicle can be more practical for colleagues, presentation materials or several hotel checkouts. Early confirmation also makes it easier to keep collection instructions consistent across the programme.
Plan the departure as carefully as the arrival. Large events can release many guests at once, and local restrictions may prevent the chauffeur from waiting immediately outside the venue. Agree a named meeting point, a realistic return window and the mobile number of the person authorised to update the plan. If the finish time is uncertain, specify whether the vehicle should remain available or return when called. Before travel, circulate one final version showing every address, arrival requirement, pickup instruction and contingency contact.
