Set the Travel Protocol Before Collection
An executive transport brief should explain how to handle the journey without circulating confidential meeting information. Agree passenger identification, authorised contacts and collection arrangements before the first vehicle is dispatched. Share only the information needed to operate the booking.
Agree How Passengers Will Be Identified
Confirm the lead passenger name and an approved contact number. If a public name board is unsuitable, agree a meeting reference in advance. Check the preferred form of address and any introduction requirements. Avoid including sensitive background information that has no practical bearing on the journey.
Separate the Journey Schedule from Meeting Documents
The transport team needs collection addresses, permitted pickup points, arrival deadlines and expected waiting periods. It normally does not need board papers, deal names or confidential agendas. Use a simple reference for each movement and send the latest approved itinerary through the agreed channel.
Nominate One Contact to Approve Changes
Name the executive assistant or organiser who can approve revised times, additional stops and passenger changes. When responsibility passes between assistants, identify the handover time and mark superseded schedules clearly. Conflicting instructions can lead to an incorrect pickup.
Plan the Guest Handover
Confirm whether the chauffeur should meet the passenger at reception, a hotel entrance or another permitted collection point. Check access arrangements with the venue and allow a realistic travel margin. Give an operational contact for arrival updates without circulating a guest list more widely than necessary.
Keep Documents and Devices Under Your Control
Follow your organisation’s rules for confidential calls, screen visibility and document handling. A private vehicle does not replace those procedures. Before leaving, check seats and storage areas for phones, laptops, passes and printed papers.
