What Information You Need Before Booking a Chauffeur

A clear booking request helps an operator quote accurately and assign a suitable vehicle. Before starting an online form or contacting a reservations team, collect the details below. This reduces follow-up questions and prevents avoidable changes on the day.

Confirm the journey type

Decide whether the requirement is a one-way transfer, return journey, hourly booking or multi-stop itinerary. A point-to-point price may not suit a schedule with several meetings, while an hourly booking needs a realistic finish time.

Prepare exact addresses

Provide the full pickup and destination addresses, including postcodes. For hotels, offices and event venues, add the entrance or reception name when there is more than one access point.

Airport collections

Include the flight number, scheduled landing time, terminal and passenger name shown on the booking. The flight number is particularly important because it allows the operator to identify terminal changes or delays.

Station and port collections

For railway stations, give the train arrival time and the service’s origin. For cruise terminals, include the ship name, terminal and expected disembarkation time. Large stations and ports may require a precise meeting point.

Count passengers and luggage

State the number of adults and children, then describe the luggage rather than providing only a bag count. Large suitcases, golf bags, skis, mobility aids and presentation equipment can change the vehicle required.

Check special requirements

Mention child seats, accessibility needs, pets or unusually fragile items before confirming the booking. Do not assume every vehicle carries the same equipment.

Build a realistic timetable

Allow time for immigration, baggage collection, security procedures and walking through large venues. For meeting days, include a buffer between appointments rather than basing the schedule on the fastest possible driving time.

Provide a working contact number

The passenger’s mobile number should include the international dialling code. If a personal assistant or travel arranger makes the booking, provide both the organiser’s details and a number that will work on the day.

Review the quotation

Check that the written quote matches the requested date, time, route, hire duration and vehicle category.

What the total price includes

Ask whether parking, airport fees, tolls, waiting time, extra stops and taxes are included. Confirm what would cause the price to change and how an extension is charged.

Cancellation and amendment terms

Read the deadlines and charges for changing or cancelling the booking. If plans depend on a flight, meeting or event, ask how delays and schedule changes are handled.

Final checks before payment

Before confirming, verify:
